Small Business Management Software

December 21st, 2010

Medium, small and one man band businesses are the life blood of any country’s economy because they are almost always started by individual entrepreneurs to fill a niche they have spotted in the market. They have advantages over large international conglomerates precisely because they are small. They can react very quickly to changes n their marketplace, their workforce is likely to be far more flexible and the relationships between workers and management are probably close. These small businesses can also make a profit from restricted gaps in their niche where a large company would find it difficult to adjust either as quickly or as profitably. People in small businesses are used to innovating and solving day to day problems and this obviously makes them more adaptable. Providing good service and customer care will also be a top priority as customer referrals could be their sole means of advertising at start up.

Small business management software is one of the tools that can help you run your one man band or company with not too many employees. It is incredible how many systems there are now available that can make you more efficient. More efficient in the business sense can be translated to mean you spend less time doing humdrum chores and more time doing the things that earn you bigger profits. Remember the twenty-eighty rule as it states that twenty percent of your time will earn eighty percent of your profits under normal circumstances. Therefore if you cut down on the eighty percent of less profitable tasks and increase the amount of time you spend on highly profitable work, it stands to reason that your bottom line will see an increase.

The first thing you must do is decide exactly what tools you need. Obviously I am going to suggest that you invest in some small business management software in order to make sure that you keep your books in order and the tax man out of your hair. When I first started up as an independent having a go at multi level marketing I submitted my tax return and was audited by the Inland Revenue. This was quite a traumatic experience for me as I had never had to bother about tax previously because my employers sorted it all out on my behalf. You need to be thinking about what sort of things your software can be of assistance with.

Your small business management software simply must have the means to record all of your incomings and outgoings. You will have to have a record of everything your customers pay to you and everything they owe you. You must also have an accurate account of everything you spend to keep your business running. This sounds simple but when you begin to write down everything, you may get quite a shock. Let’s look at it:- Your work space, telephone line(s), broadband, fax, printer ink, paper, envelopes, stamps, all the other software for writing letters, producing graphics,  flyers or pamphlets. What about transport? Do you need a vehicle to visit clients or transport the goods that you produce?

Just what sort of small business management software are you really going to need? Our suggestions are that you will need something for your finances, if you carry stock, you will need stock control or small business inventory software. Buying and selling? You are going to want something to look after and record all of your invoices. How about when you have an idea and what to turn it into a viable product for sale? Project management software will be able to keep your efforts on track. As your company employs more staff, you are going to need human resources software in order to keep track of your personnel’s training, health, performance and discipline records. As you can see, there is a lot to think about and we will produce ore information in order to help you make your own informed decisions as to what small business management software will be the best fit for your company.

Small Business Point of Sale (POS) Software

February 5th, 2011

Which small business retailers need a point of sale (POS) system and what should they look for? These questions have been going around for years, with a vague answer of “the small business owner who wants the business to grow.” In reality, nearly every retailer should have a POS system because it is a declaration the business is keeping up with the times and that any “funny business” will be noted quickly.

Since a retail POS system can cost from a few hundred to thousands of dollars and more, it is important for the small business retailer to look for certain things to make the investment a worthwhile, pleasant event. A tedious, but worthwhile task is to create a list of what you think the system can do for you and your business. To one side of the list, jot down the kind of computer you have and the operating system it uses. Note the printer and its features (color, makes two-sided copies, size of paper it can handle).  Finally, write down your honest feelings about using the different programs, and the name of the person who handles computer problems at the store.

Now you are ready to start looking. Reviewing the items on your list, you’re aware that you are going to need a system you can depend on. Tracking inventory amounts and sales trends, completing customer transactions, or printing receipts: any retail action that deals with the business can be fit into a program of some type.

While you are looking at software, you will notice the term “bundle” showing up consistently. The idea of packaging many POS options together can be referred to as a gift basket of possibilities. There may be a few items you will never use, but it’s usually less expensive to get an all-inclusive bundle that will help track customer data, inventory, and sales transactions. Clients will be checked out more quickly, and errors will be decreased.

Don’t let go of your list yet, because now it’s time to review potential problems.  There are times when it is tempting to mesh a new system with old hardware, or purchase used hardware to get by. Generally, you are just borrowing trouble.

The software program you are considering must be compatible with your computer system to operate well. The nice guy at the computer store may be more interested in his commission than in your computer’s compatibility.  Read the cover and the fine print.

Another problem is the cost for updates. Even more worrisome is if the software will be updated, or if you will need a whole new program, should they decide to eliminate that system.  Since we are on the subject of updates, who will handle them when it’s time to install the information? If there is a virus or possible intruder, will a patch be provided?  Is your data safe, or backed up somewhere safe?

Most small retail businesses do not have a resident IT staff. Is there a support team behind the software to help you through any problems?  If so, are they good at speaking to people who are not IT pros?
